What information we collect
We only collect information you give us directly, plus a minimal amount of technical information about how you use the site.
Information you give us
- Information submitted through enquiry or contact forms (name, organisation, email address, phone number, the body of your message).
- Information sent to us by email, phone or post.
- Account or project information for existing clients (handled under a separate contract and our Terms & Conditions).
Information collected automatically
- Server logs: IP address, browser type, pages visited, referring URL and timestamps. Retained for up to 90 days for security and diagnostics.
- Session cookies: small pieces of information stored by your browser only for the duration of your visit. They contain no identifiable information.
- Privacy-respecting analytics: if enabled, aggregate usage statistics. We do not use Google Analytics in a way that identifies individual visitors.
How we use your information
Information submitted to and gathered from www.hcoms.co.uk is used by Hayes Computing Solutions Ltd only, for the following purposes:
- To respond to enquiries you have made.
- To provide services we have agreed to provide.
- To send you information you have specifically asked for.
- To meet our legal and regulatory obligations.
- To improve and protect the website.
We do not sell, trade or rent your personal information to others.
Cookies
The only cookies this site sets are from Google Analytics, and only if you accept analytics on the cookie banner. If you decline or ignore the banner, no cookies are set at all. We do not use any advertising or marketing cookies.

Third parties
We engage a small number of third parties to help us operate (for example, hosting, email delivery, payment processing, error monitoring). These parties only access personal data to the extent strictly necessary, may not use it for any other purpose, and are required to comply with UK Data Protection legislation.
Where we host clients’ own software, that data is governed by our Terms & Conditions and any specific data-processing agreement we have with that client.
How long we keep information
- Enquiry submissions: retained for up to 24 months unless you become a client.
- Server logs: retained for up to 90 days.
- Client records: retained for the duration of our relationship plus 6 years (HMRC requirement).
Your rights
Under UK GDPR you have the right to:
- Be told what personal data we hold about you (subject access request).
- Have inaccurate personal data corrected.
- Have your personal data deleted, where we have no legal reason to keep it.
- Object to or restrict our processing of your personal data.
- Receive your personal data in a portable, machine-readable format.
- Complain to the UK Information Commissioner’s Office (ico.org.uk) if you are unhappy with how we have handled your data.
